A1. One area needing assessment in the organization’s health information management (HIM)

workflow are the coding and billing segments of the HIM department. Issues within this

department are largely due to paper medical records being located in separate facilities

throughout the organization. Staff is reliant on a courier service to hand deliver records to

administration offices located downtown; a process that creates many difficulties

throughout the department. Without immediate access to patient health records, errors are

made and provisions of quality health care are limited.

A2. One concern related to the adoption of an electronic health record (EHR) is resistance

amongst staff. There is concern that the adoption of an EHR will require unaffordable

implementation costs and may be time consuming to learn and understand functionalities.

New technologies may overwhelm staff members who prefer the familiarity of paper

medical records and could potentially lead to new errors.

A3. Staff members in the HIM department have several functional needs related to the

adoption of an EHR system. The HIM department is centrally located in a downtown

administration office and supports three hospital campuses in which the organization is

comprised of. The current time consumption and reliance of the courier service that

transports health records throughout the organization needs to be considerably updated.

Additionally, the HIM department needs a system that centrally stores health records in

one location and under one account to meet the needs of all coding, billing and other

financial services that are required. This will not only effect coding and billing segments

but chart analysis staff as well, as they are currently unable to apply deficiencies because

of chart location and have an accumulation of charts waiting to be processed.
