Subject: Productivity Solution: Flexible Work Week
Dear fellow managers-
As our monthly managers meeting is quickly approaching, I wanted to take this opportunity to
address one of the issues CEO Walters asked those of us in HR to consider, which is to think of
ways to help improve productivity in the coming fiscal year. You’ve already seen proposals from
Edna Jameson and James Jefferson in my department, focusing on improving hiring practices
and providing more ergonomic workstations, respectively. Those are both excellent ideas. For
my part, I’ve decided to focus on solving the problem of the complaints we’ve seen, concerning
the 5-day work week.
While I’ll go into more depth during our meeting, I propose the company offer a flexible work
week for all employees. This might come in the form of employees working fewer days in the
office but working longer hours on those days, than the classic eight-hour shift or giving
employees the opportunity to work from home. These past two years of dealing with Covid-19
conditions have more than proved that our workforce can be productive, even when working
from home, as we saw when numbers only dropped one percent from 2019. If we were more
prepared for this change, then we might possibly see a higher return than we did just two years
ago, when we worked together.
My hope is that in receiving this email in advance, you, my fellow managers, will have an
opportunity to bring any questions forward, either before the meeting in this email chain or in the
meeting itself. If you’d like a copy of the plan and the numbers involved in moving our
employees to a flexible workweek, don’t hesitate to reply directly. I’m happy to provide my
PowerPoint in advance.
Respectfully,
Daniel

Mode Justification:
I chose the email form, as it is an excellent way to give information quickly and concisely to a
group, before meetings or as a follow-up to a meeting. It helps prepare them for ideas before
they’re discussed in greater detail, and it offers up a chance for feedback either by a reply all or
personal reply. In this case, I decided to create a scenario where I’m entering into a series of
emails pitching solutions, as well. For a group that likely does not meet in person often, this
seemed like a good way to engage with the entire body.

Re: Proposal to update standard application
Please see the attached proposal to remove the salary history and “desired salary” sections of our
standard application. I believe this will be a small, but effective, change that will complement
our current DE&I measures and bring us closer to our goal of eliminating the gender wage gap at
Northeast Wisconsin Life Insurance.
I look forward to discussing this proposal at our next Executive meeting.
