The project communication plan should answer four key questions regarding the
project. First, it will answer the what, why, how, and when of the project (Institute, 2019).
The first question in project communication process will answer will be concerning the
appropriate approach to use to meet the stakeholders’ information needs. Communicating the
right information is essential in ensuring the success of the project. Adequate planning will
ensure that the right information reaches the right audience within the required time.
Providing wrong information can lead to the project’s failure, and so will be providing the
right information when it is no longer needed. Good communication planning should ensure
that there are no delays in transmitting information and ensure that only the right information
reaches the intended audience (Sanghera, 2019). Sending the right information to the wrong
audience can also lead to project failure, and the correct format should be used to avoid any
cases of misinterpretation of the conveyed message. The next question that the project
communication plan should address is when to start communication and its frequency. The
right time to start the communication planning should be at the start of the project and it
should be revisited periodically to ensure the right communication occurs. Lastly, the
