What is Event Management?
“Event management” encompasses the planning and production of all types of events, including
meetings and conventions, exhibitions, festivals and other cultural celebrations, sport
competitions, entertainment spectaculars, private functions and numerous other special events.
Skills in event management will also be useful for careers in related fields such as tourism,
hospitality, arts, culture, sports, recreation and leisure.
Event management used to be a sideline to other occupations; something one did because events
were required. Or people became event planners and managers because their particular skills
were needed, and they could adapt. All that has changed, and within the last fifteen years event
management has been given formal academic status in many colleges and universities. Today’s
event manager is better educated, much more sophisticated in terms of the fundamental
management skills, and more versatile. What’s more, there are numerous other professionals,
such as in sport, recreation or arts management, who need to study event management in order to
fulfil their responsibilities.
At the same time, the event “industry” has surged ahead in terms of the number and size of
events, their economic, cultural and social significance, and media coverage. There is no room
for unprofessional conduct, and demands for professional accountability are ever-increasing.
What’s more, today’s professional event manager has skills and experience that can adapt to all
types of events in many different settings; it is no longer desirable or necessary to be confined to
one specific event-related job within a company, facility or organization.
No event can take place in isolation and each event involves a set of interdependent and
interacting elements within a system: the event product with event participants, the audience or
customer and the sponsors. Events can be described by referring to the tangible components. It is
usually produced as a means of achieving some greater goal. An event is to relax or to engage in
a social, cultural or environmental experience that is outside the normal range of everyday
activities. The event sector of the tourism industry is young, dynamic and growing and maturing
at a rapid rate. It is now a truly global sector of the tourism industry.
CLEAN UP MAURITIUS DAY EVENT
Our event is about Clean up Mauritius Day whereby we have to conduct it at a specified place.
To be able to carry out our report, it is necessary to conduct an Event Management. Green Team
consists of a team of six members working towards the accomplishment of an event for the
Module Conference and Management.
,We have been asked to undertake as part of our assessed coursework the staging of an event
based on the theme “Clean up Mauritius day. The idea behind the event staging is for us to gain
practical skills in event management and bridge theory and practice.
Clean up Mauritius day event is a type of Environmental and educational event. It is related with
the broad concept of sustainability, i.e. meeting the needs of the present generation without
compromising the ability of future generations to meet their own needs and also for a greener
environment. If we clean up the environment make it clean and green for the future generation,
then the next generation will be living in a good environment that is free from waste and dirt.
The Clean up Mauritius day event is about educating the local people about the importance of
keeping the environment clean by removing all the waste products, recycling materials to reduce
energy consumption, preserve the natural resources and also composting by using vegetable
scraps, bread, eggshells, most fruits peels that have been thrown away to reuse them.
Importance of keeping the environment clean and green
1. Keeping our environment clean and green is important as this will enable our country to
remain green as well teach the youngsters to come up with ideas.
2. Mauritius has introduced the concept of Maurice Ile Durable as such it is important to
keep the environment clean and green for the future use. Clean up Mauritius day is not
only about cleaning the environment but also to find ways of how to use the resources in
a sustainable way and also to save energy and minimize our dependency on fossil fuels
through increased utilization of renewable energy and a more efficient use of energy.
3. With the ever increasing use of technology and industries flourishing the amount of
pollution in our environment is increasing at a rapid pace. Keeping our environment clean
is a very important part of our lives in these days. It is important to focus on this as we
have to make sure that the environment is preserved for future generations. Water
pollution and litter are considered to be two of the main cause of the environment being
dirty.
4. The 3Rs are considered to be the most important and easiest way to keep our
environment clean and refrain it from pollution. Reduce; recycle and reuse are the famous
3 Rs that can keep our environment clean. By reducing the usage of harmful materials,
and recycling items such as paper and glass and at the same time reusing goods that can
be reused will reduce the pollution levels in the air and keep the environment clean.
5. Planting more trees increase the oxygen level in the atmosphere. This way there is an
increase in the total oxygen level thus resulting in cleaner air to breathe and keeping
environment clean.
,6. Many people tend to litter. This is a bad habit as littering causes a rapid increase in
pollution levels. Instead of throwing garbage on the roads, there should be recycling bins
on every corner of the road so that people do not litter. This will help in keeping the
environment clean.
7. By using eco friendly and biodegradable cleaning items the environment will be a better
and cleaner place for humans to live in and by the continuous use of these products the
environment will improve for future generation.
Clean up Campaign
Our campaign Clean up highlights how local action taken by every individual and volunteer
partaking in the Cleanup day has a global impact. The essential volunteers that will be taking
part in the cleanup campaign will be taking the responsibility and the effects are not felt only
in the community in which they take place but also across the planet.
All events must become environmentally responsible and practice “green management” This
event that brings together green entrepreneurs, environmental community organizations, and
the growing sector of the general public that is interested in creating an alternative to the
corporate-dominated, profit-at-all-costs economy.
Aims and objectives
Aims and objectives are end results which the organisation seeks to achieve through its
existence and operations. Aims and objectives must be realistic and achievable so that we are
motivated and we strive to attain it. It gives a description of what, how, when and where the
event should be. The aims and objectives should fit to what we the “green team” want to
achieve in our event and also how we shall achieve this. So as a team, we have set ourselves
according to our aims and objectives to execute our tasks.
Our aim for the event is to preserve and conserve the natural beauty of Mauritius
Our main objectives are:
1. Clean up a particular chosen spot in Mauritius.
2. Sensitise the local inhabitants by getting them involved in the cleaning process.
3. Develop a green team that works in cohesion and collaboration to materialise the
cleanup day.
4. Identify potential stakeholders such as the society, government, companies, non profit
organisations and most importantly the participants.
5. Meet the needs of all stakeholders involved.
, Our aims and objectives have been based on the SMART criteria. SMART Criteria are those
which are:
Specific: Our aim and objectives must apply and be clearly identified to the chosen event. They
must be clear so that the point can be understood easily and then must be no doubt of the
perfection of the aims and objectives.
Measurable: They can be assessed for effectiveness. We must not exaggerate and must stay
within a limit while explaining our aim and objectives.
Achievable: The event can be staged within the deadlines set. We must plan our work perfectly
so that we get the expected work done. We must do the work within our capability so that we can
achieve a positive response.
Realistic: Everything must be organized within financial boundaries to meet the objectives. The
tasks must be completed within our financial budget so that they do not fail our expectations
when we arrive at the final result.
Time Framed: Deadlines are set for completion of the event and all the necessary steps leading
up to it. As our deadline is on 19th November 2013, our work must be planned in such a way that
at the end of our time limit, we obtain a perfect successful completed work so that we do not
have to rush to complete our remaining tasks. Everything must go on smoothly according to the
plan made within the time frame.
Getting organized
The initial stage of getting an event started depends on what kind of activity is going on, or what
the objectives as stated above are. The event can be personal, leisure, cultural or environmental.
It may be organised by students or by professional people. Some events are organized by a single
dedicated individual with comparatively little support and encouragement, others are organized
by large group of enthusiastic people. Getting started partly depends on what we know about the
event and who will be doing it. In some cases, we know what the event will be, but not who will
do it; in others we might have people who can organise it, but we don’t know what sort of event
can be offered.
This has been the case for us as we did not have too much information about how to carry the
event, who will be doing what and where we will conduct our event. Through research and
guidance we have obtained information about how to proceed with organising the event.
There have been many important factors which we have paid attention while organising the
