Stage 1 Preliminary Investigation Report University of Maryland University College IFSM 461 ###### System Analysis and Design 6/2/2019 Introduction A preliminary investigation report has been conducted by Hemerging System Analyst organization (HSAO) on Precision Electronic Parts (PEP) just recently. PEP specializes in manufacturing electronic components and parts replacement for medical equipment. The senior management of the Information Technology steering committee (ITSC) of PEP has initiated a requested for a preliminary investigation report. The management consist of Carolyn West the Chief Executive Officer (CEO), Tim Uduak, Jr. the Chief Operation Officer (COO), Karl Manley who is the Chief Financial Officer (CFO), Mark Temple is the head of IT department and the Chief Information Officer (CIO). Susan Black, who the Senior Vice president (SVP) and lastly Jason Udo is the Vice President (VP). All of the committee members are geared towards reducing the cost of doing business, which includes IT management and increases in sales. Problem to be solved. Recently, they added the production of low motor voltage to the list of their invention to service within and outside the healthcare industry. However, PEP has been facing many challenges with regards to the massive increase in demand for their products. The inventory management, order, and shipping department have been straining due to the rise in the customer's request for motors. The strain has also affected their invoice, billing, and payment processes not bein able to perform their obligations effectively. There is an urgent need for a system upgrade implement to help accommodate the needs of the financial, ordering and shipping department challenges, also the inventory tracking to help solve the problem and for smoother business processes. Findings Scope of the proposed system. The goal of the project scope is to increase and advance the day to day business process of PEP’s. The deployment of the system will ensure and address the fundamental need of PEPs’ which is to make sure that the IT system and business process are integrated appropriately. Such that, it is in accordance with the law in place for doing business in the medical industry, such as the Privacy Act and the Health Insurance Portability and Accountability Act. The financial department will be able to process and conduct its activities efficiently such that invoicing, customer billings, and payment will be seamless and active through the implementation of the new system. The IT system deployment will have the capacity and needed technology that will enhance and support the expansion with an increase in demand for low voltage motors. More so, the current system backlog, and every other challenge will be reduced, also will result in high productivity. HSAO will ensure that all data, such as customer information, financial records, employee details are adequately migrated without any data loss. Furthermore, the system will be equipped with security that will ensure confidentiality, integrity, and availability of data. Users of the system will be given adequate and extensive training on how to use, maintain the new system to better serve the organization business needs.
