The class no longer appears in the Learner's schedule but remains on the Learners transcripts page as a running audit of all classes. Effective Date A method of dating information in IPPS-A. The user can predate information to add historical data to the system, or postdate information in order to enter it before it actually goes into effect. By using effective dates, the data does not need to be deleted or overridden. In IPPS-A, the Effective Date is used to represent the Date of Rank/Grade, Date of Appointment, Date of Transfer, Date of Hire, or date a transaction was applied to a Member record. Email Correspondence Template Pre-formatted email templates allowing an HR Processional or Agent to select the appropriate option during case management. The templates are used as automated do not reply email message notifications. An automated email notification is sent to the Member when an HR Professional or Agent creates or resolves a case in the IPPS-A HR Help Center. Empl ID The Empl ID is a system generated and assigned unique identification code for a Member in IPPS-A. Data for a Member will be accessed using the Empl ID rather than the SSN or DoD ID. Enrolled/Enrollment Status A status that indicates a Learner is enrolled in the activities needed to complete a program. Enrollments Applies to classes. Members need only enroll in classes; they do not need to enroll in individual learning components for that class. Enterprise Learning Management (ELM) A suite of applications in IPPS-A that is used to deliver IPPS-A NET courses and content to Learners. Equipment Types Includes all of the individual pieces of equipment available in the system. After equipment types have been defined and become available as resources and attached to facilities and rooms. Escalate Used when an Intermediate Approver or Approver in the approval chain has not responded to a transaction within a specified period of time. Escalation allows the Intermediate Approver or an Approver to designate an alternate Approver for further action. Facility Contact Types Defines facilities. Includes scheduling, catering, and janitorial. Federal Recognition Acknowledgement and approval of an action on a National Guardsman's record by the Department of the Army. Grading scheme values are the values that appear on the Learners' Self-Service pages. Each grade value is associated with a status which can affect a Learner's enrollments status. Hire A new Member enlisted or appointed in the Army, Army National Guard, or Army Reserve who has no previous service in any Army Component (See also, Rehire). Hire Record Review (HRR) A repository for new Member data received from the Army Recruiting Information System (ARISS). It allows an Authorized User to review and correct the data prior to completing a Hire/Rehire transaction in IPPS-A. This component also includes a page for Direct Hire/Rehires to be processed. Holiday Schedules In IPPS-A (ELM), a Holiday Schedule designates a set of blackout dates for which class sessions cannot be scheduled. Holiday schedules can be used to restrict scheduling of sessions within a facility to non-holiday dates only. Home Assignment A Permanent Assignment is referred to as a Home Assignment in IPPS-A with an authorized position (paragraph / line number). Types of Permanent Assignments include: Permanent Change of Station (PCS): The assignment, detail, or transfer of a Member to a different duty station under a competent travel order that does not specify the duty as temporary, provide for further assignment to a new duty station, or direct return to the old duty station. In IPPS-A, a PCS assignment will be designated with an action code of PCS. For an Active Component, a PCS assignment may also be a TTHS position (no paragraph / line) to attend school for 20 weeks or more.Permanent Change of Assignment (PCA): The change of assignment, detail, or transfer of a Member to a different unit within the same command that does not specify the duty as temporary. Home Department The home department is designated to be used to determine the S1 Pool for some of the PAR transactions. Host Department The host department is designated to be used to determine the S1 Pool for some of the PAR transactions. Hour Types Different categories of time allocations delivered as system data: Regular Training Hours - in working schedule; Regular Training Hours - out of working schedule; DIF Training Hours - in working schedule, and DIF Training hours - out of working schedule. Human Resources Authorizations Report (HRAR) The Human Resources Authorization Report (HRAR) provides IPP-A users and decision makers with data and visualizations to analyze personnel strength as a component of combat power. In Flight Workflow A transaction, usually on a PAR, already submitted for approval that has not yet received the final approval. In-Progress A status that implies the Learner has begun the class in some way. At least one learning component has a completion status of in progress, completed, or not completed. Instructor Individuals who can be assigned to classes, class sessions, session patterns, and session templates. Instructors may also be assigned as coordinators for the program. Instructor Types Categorizes Instructors. Examples include Primary instructor, Assistant Instructor, Teaching Assistant, or Coach. IPPS-A Agent Dashboard A dashboard for HR Professionals and Help Center Staff to find solutions and related information, create cases, interact with Members and other HR Professionals/Agents, and access HR transactions. Manager Self-Service Manager Self-Service includes:-View their team's class, curriculum, and certification progress-Approve or deny learning requests and supplemental learning for a team member-Enroll or register team members in classes and programs, and add classes to a plan-Drop classes or programs for team members and remove classes and programs from a plan-Review certification status of team members and enroll Learners in re certification is expired-Add objectives to a team member's learning plan and search for learning that satisfies the objectives-Request or add supplemental learning, and -Request new learning when the appropriate learning cannot be found or does not exist in the catalog. Mass Enrollment The ability for an Administrator to enroll or register more than 30 Learners. In all cases of IPPS-A enrollment, when the enrollment number exceeds 30, the system will prompt the Learning Administrator to submit a mass enrollment request or to return to the Enroll Learners page (Find Learner pages) to narrow the search results. Mass Registrations Registering multiple Learners into programs at the same time. This occurs within the Program Registration pages. Non-Person Profile Job Code Code holding all information pertaining to Job Code attributes; repository of skills, qualifications, responsibilities, tasks, and competencies of the Job Code Not completed The Learner has attempted the class but has not successfully completed it. This status is achieved when at least one required learning component has a not attempted, in progress, or not completed status by the class end date or by the end of the class's learning period. Notification Events Circumstances under which the system triggers the generation of notifications. Each notification event comprises one or more event actions. An event action defines the recipient, learning environment, and template for the notification that is triggered by the notification event. The one to many relationships between notification event and event actions make it possible to generate multiple notifications from one event. Notifications Information provided to users either through email or via a Dashboard. Passing Scheme Passing scheme values define the status of grading scheme values. Grading scheme values are the values that appear on the Learner' Self-Service pages. Values used to grade Learners. The grading scheme values are pass or fail. These values appear on the Learner's Self-Service. Pending Approval A request is made to a Learner's Manager to enroll in the class. The request must be approved before the system can enroll the Learner in the class or add the Learner to the class's waitlist. Person of Interest Any non-Member's needing access to IPPS-A to perform a specific set of functions for the Army. There will be only 4 categories of POI: Government Civilians (Federal and State), Contractors, U.S. Military (non-Army), and Foreign Nationals. Person Profile Describes People's skills, competencies, other content items such as accomplishments, and performance. Manage Profiles enables you to create profiles for employees and contingent workers. Personnel Action Request (PAR) An online data entry form for Soldiers and/or Authorized Users to request a personnel action. The activities require formal approval and include hiring a new employee, separation, leave of absence or changes in a current employee's pay, position, status, personnel or work related information. A PAR will be used in place of DA Form 4187. Planned In IPPS-A a class is added to the Learner's learning plan. Position Number (Work slot identifier) An authorized MTOE/TDA position. Position Title The title of the duty being performed by a Member when assigned to the position. Prerequisites Classes and programs that Members must complete before enrolling or registering. Prerequisites can be set to "Required" or "Recommended". Training Administrators are the only individuals who can override prerequisites. Profile Qualifications Profile Qualifications identify a Soldier's skills or are used as selection criteria for assignments, schools, or promotions. Program A collection of courses used in IPPS-A ELM for role qualification training. Provider Group In CRM, Provider Groups are a pool of Agents/HR Professionals organized in a hierarchy. Agents assigned to a Provider Group may solve, close, or escalate a customer case to a higher level Provider Group. In CRM, a case is always routed first to the lowest level Provider Group. Proxy A designated Person that has been identified by the original Approver (Delegator) to execute approval authority or proceed on his or her behalf. Also known as a Delegate. Push Back Ability of an Approver to send a transaction back to the previous person defined in the routing (either the original submitter or the previous Intermediate Approver) to change the transaction and resubmit it. Quick Codes In IPPS-A (CRM), Quick Codes enable an Agent to pre-populate fields and perform pre-defined actions on a Member's case. Rank Entry Date The date Member entered into a rank/The date on which a Member was appointed or promoted in a particular rank and the date used to determine relative seniority of Members holding the same rank. Registration Within Enterprise Learning Management (ELM), the act of registration is an initial key process by a Learner into a program and certification prior to enrolling in a class. Registration Status Type Categorizes Learners, Managers, Training Administrators and Instructors in defined completion steps. Registration Status Types include: Pending Approval, Registered, In-Progress, Dropped, Completed, Expired, Not Complete, Planned, Revoked, Reissue, Waive, and Warning. Rehire A Prior-Service accession who previously had a record in IPPS-A is rehired by recovering and updating the inactive record. A Member discharged or separated prior to IPPS-A must be hired (See also, Hire). Related Cases In IPPS-A (CRM), a relationship can be established between one or more helpdesk cases. Retention Management Cycle The process in which a Regular Army Enlisted Member Reenlists, Extends, Reclassifies, or transfers to a Reserve Component (AC/RC). The process in which a Reserve Component Member Extends or Reenlists. Reviewer A Member inserted within workflow to recommend action on a submitted action. The Approval Chain reviews the transaction for awareness. The Reviewer does not have the ability to approve or deny the transaction. A Reviewer can only provide comments. The transaction will continue to go forward and can be approved without the Reviewer's input. Room Types Classification of facilities that include classroom, auditorium, or laboratory. Roster A Roster is a collection of Learners that have either enrolled in a class (Class Roster) or have registered for a program (Program Roster). Routings Identification of Members in the approval chain. This includes S1 Pool, Intermediate Approvers, user lists, Reviewers, and Approvers. S1 Administrator Role assigned to a Member to provide access to the authorized user to manage In-Flight Workflow changes such as reassignments and the S1 Pool Configuration Pages. S1 Pool Group of HR Professionals that will be used as the default workflow routing for all PAR transactions. The SA can generate reports on submitted surveys to gain insight into Member satisfaction and to take action to improve Member services. Temporary Assignment (Host Assignment) A special detail where a Member remains assigned to their permanent unit while performing duty in a different location. Includes an Attachment or Deployment where the Member returns to their Home Assignment after the Temporary Assignment is complete. Referred to in IPPS-A as a (Host Assignment) and does not require a position (paragraph / line number). In IPPS-A, a Temporary Assignment will be designated with an action code of Assignment Global (ASG). The completion of the Temporary Assignment will be recorded in IPPS-A with an action of Assignment Complete (ASC). Training Plan Categories Applies to IPPS-A training enrollments. Like learning classifications, Training Plan Categories appear on training reports. Training Plan Status Options When a Training Plan is generated, the Plan's start date and an as of date are specified. If the as of date is before the start date, the Plan is considered a future plan, and the system considers the enrollment and request statuses defined in the Consider for future. If the as of date is after the start date, the Plan is considered an actual plan, and the system considers the enrollment and request statuses defined in the Consider for actual plan. Transfers Transfers are classified into two categories: Inter-Army Component, Intra-Army Reserve Component. Inter-Army Component Transfer (XFR/IRT) is a transfer between the Regular Army (RA), USAR, or ARNG Components. Intra-Army Reserve Component Transfer consist of two types: Intra-Reserve Component Category (XFR/IRC) and ARNG Inter-State (XFR/IRS).Intra-Reserve Component Category Transfer is a transfer between Component Categories of the Reserve Component (Ready Reserve: Trained in Units, Training Pipeline, Individual Ready Reserve, Training; Standby Reserve; Retired Reserve; Inactive National Guard.
