Introduction
In the last few decades,evolution and technological advancements have and continues to
be invented.This is the greatest plan of the world,to computerize and make things easy
using this path.Automating bookshop management plays a greater part of the plan by
providing a base of information which will be accessible anytime,anywhere.The
information system of the old times totally differs from the today's information systems
of a bookshop.
1.1 background of the study
Over the last five years,Nairobi Variety Bookshop have been carrying out its tasks and
operations manually.All transactions have been carried out manually,cutting across book
storing,accounting as well as recording.
The database of this period is basically book keeping,writing and keeping every detail of
day to day operation in a book.This system needs a lot of people to carry out various
tasks within the business.Basically,the system needs a lot of personnel for it to operate to
its potential.Maintaining data and information relies on how organized the business is,if
the storing room is not secure,then the information might go missing due to misplacement
of manuals.
Considering all the above studies of the old system,there is a need to automate and
computerize the system.My project will deal with almost all the information of
bookshop.Its going to keep the database of customer records and publishing records.It
also keeps author list,charges and book-title list.
The business of bookshop is spread all over the world.A large record should be
maintained in a proper manner for running if the business.The proposed system is a
window based menu driven system.It reduces the paper work,time needed for doing
various tasks within the business.
This system is going to increase the production in the business by reducing time required
to serve the customers,hence enabling the business to serve many customers within the
same given duration of time.Recording and storing of information will be secured by
implementing and running this proposed system where there will be some authorization
, requirements like passwords for one to login and access the information.Customers will
be able to create accounts where they can receive and view what they want by simply
searching for books available in the store.
The proposed system provides lot of facility to the user to store information of the books
and provide information in quick time in a systematic manner.Today it is becoming very
difficult to maintain records manually.The proposed system easily does the job of
maintaining daily records as well as the transaction according to the user needs.
1.2 Statement of the problem
The old system is vulnerable to human error.Every system humans work with is prone to
errors made by a distracted,fatigued or incompetent member of the business.Automated
systems still require human interaction but reduce the number of decisions or operations a
human must perform.Each step handled by a computer makes the entire system more
efficient because it is prone to errors.
Secondly,the old system have a high costs add up over time.Installing an automated
system will cost less money for those equipment and resources required to automated the
business.Despite these upfront costs ,automation saves more money over time.Many
operations once operated,continue without a staff member’s involvement for example
generating of reports.
Searches take longer and are less efficient searching for a specific book in a manual
bookshop system means moving from one index to another when you can change your
search from author to title.with an automated system,you can conduct any kind of search
you from the same location with a few clicks because all indexes are virtual instead of
physical,an automated system can have more search categories without adding another
piece of furniture.
Serving customers using the old system takes a long time compared to a computerized
system.This is because the customer will have to wait for long time which could be some
seconds in an automated system.To reduce this time,modern system needs to be
incorporated in the business to save time and serve more customers.
Manual building and writing of receipts can be automated to keep a record that can be
used to refund books bought if its not the one the customer needed.This means that the
store record will not be compromised in any way.A reference can be made with ease.
