Quality and Support Measures
The purpose of this section is to assess your organisation’s capacity to meet the programme standards in terms of practical
arrangements and support offered to participants before, during and/or after the activities. Make sure to read the questions
carefully and address all sub-questions. Please provide answers relevant to each type of activity that you selected, e.g if
you are planning to implement volunteering teams or individual volunteering, please provide answers that cover both types
of activity. If you are applying as a supporting organisation and you intend to coordinate but not send or host participants,
please specify this in the relevant fields.
Practical Arrangements
Please describe the practical arrangements for hosting volunteers on your premises, in your main location (e.g. adequate
accommodation and meals, access to local transportation). Describe how you will ensure the minimum standards and
justify if there are any deviations from these.
KKC as the hosting and coordinating organization will have the responsibility to keep in touch with everyone involved in
the project – before, during, and after it. We will make sure that everyone is informed and well prepared for each step of
the project, that there are no misunderstandings, and that no one, especially the volunteer, has any objections regarding
the practical arrangements. This communication will be carried out through different means, mainly e-mail, but also phone
calls and video calls for more important topics to make sure that everything is discussed thoroughly and to avoid possible
miscommunication.
Travel:
As for travel, normally we ask the volunteers to book their tickets themselves, but we reimburse the costs according to the
rules of ESC. And we will certainly assist in finding the best and the cheapest way how to get from the volunteer's home
town to Riga. We will gladly organize a pick up at the airport or bus/train station depending on how the volunteers arrives
here. Once here, the volunteers will be provided with a bicycle for going to work and explore the city in their free time. We
will also make sure to explain to them how the public transport works in Riga and Latvia, where and how to buy the
tickets, how much they cost, etc. We will also reimburse the travel costs incurred by using the public transport.
Accommodation:
For the individual volunteers we are planning to rent an apartment beforehand learning of volunteers needs and
preferances (accessibility and route infrastructure in case of physical disabilities, prefers green neighborhood or is okay
with urban scenery with no trees, parks; prefers center and travel with bike or the diverse neighborhoods and public
transport; would they be okay living in the same appartment with other volunteers or students, etc.). The appartment
would be within a reasonable distance from KKC and easily reachable by bike or by public transport. The volunteers each
would have an isolated bedroom for privacy, some common space like living room, as well as a kitchen and a bathroom
with all the essential equipment. Before their arrival, volunteers would be given opportunity to clear any doubts and
questions about the living situation.
For the group volunteers as they would be at least 10, we are planning to host them in a hostel beforehand learning of
volunteers needs. The hostel would be within a reasonable distance from KKC and easily reachable by bike or by public
transport. The volunteers each would have an isolated bedroom for privacy or would be in the bedrooms of maximum 2
people, some common space like living room, as well as a shared kitchen and a bathroom with all the essential
equipment. Before their arrival, volunteers would be given opportunity to clear any doubts and questions about the living
situation.
During the festival and the week before festival the volunteers has option (not obligatory) to stay in the camp on the
festival ground with the other team - each volunteer would be provided a tent for privacy and the necessary camping
equipment for safe and warm sleep, there is a shower and WC installed on the camp ground, the meals are provided 3
times a day on camp grounds with an additional option of market in walking distance, office for work and gadget recharge
as well as large hall for gathering next to campground.
Meals and other:
We will also go through all the practical arrangements with them, such as when and how they will receive the pocket and
food money, we will help them to get a local SIM card if needed, go around the city with them to show them the best
