Organisational Capacity
In this section you need to demonstrate that you have the necessary professional competences and qualifications to
implement solidarity activities of high quality. Please answer the questions according to the role that you are applying for
e.g: if you are applying for volunteering host and supporting roles, please provide answers that will allow the assessors to
judge your capacity to play both roles.
Please describe your organisation’s ability to manage all practical and logistical matters of the activities. What resources
will you allocate to each activity in order to ensure successful implementation? How will you ensure that the staff have the
necessary competences to carry out their tasks?
As a host and sending organisation we have proved our ability to manage all practical and logistical matters of the
activities:
1. Our contact person ensures clear communication with everyone involved in the project – before, during, and after it.
We will make sure that everyone is informed and well prepared for each step of the project, that there are no
misunderstandings, and that no one, especially the volunteers, have any objections regarding the practical arrangements.
This communication is carried out through different means, mainly e-mail, but also phone calls and video calls for more
important topics to make sure that everything is discussed thoroughly and to avoid possible miscommunication.
2. We have gained experience by successfully managing the practical and logistical matters of the activities in the
previous EVS and ESC projects as a host and sending organisation, as well as for many other small scale events and
festival "Komēta" the logistics of foreign artists and specialists. To see more detailed information about how we plan to
manage practical and logistical matters for ESC projects, please see section "Quality and Support Measures". We have
no experience in managing the practical and logistical matters for volunteers who have physical disabilities, but for that
we would gain the needed knowledge from the volunteers themselves, from consultations with transport services, NGOs
specialized in work with people with disabilities, and Agency.
3. For successful implementation of the activities we plan to allocate such resources as:
- our current team and their knowledge, skills, experiences and network (ESC project management team, accountant,
staff of different experts);
- our venue (3 story building with office, cinema and event rooms, open-air terrace and garden) with materials, technical
gear that we already have (sound system equipment, scenography light equipment, online streaming equipment, flipchart
whiteboard, chalk boards, different items for scenography and hospitality, portable projector and screen, cinema projector
and screen, DJ setup and table, archives of posters, events, photos etc.) and technical gear rent agreements;
- our extended community and partners (different experts and potential partners in activities or for consulting);
- mentor and specialist for reinforced mentoring;
- NGOs and institutions that specializes in work with disadvantaged social groups or their policies and rights;
- our stable income and funds;
- ESC project funding and additional funding for the support of volunteers with fewer opportunities;
- resource centres for learning informal and nonformal methods, digital tools, exchange knowledge for project
implementation - SALTO, European Solidarity Corps Resource Center, Eurodesk network, National Agencies;
- Training and Evaluation Cycle, language learning support tools, EU tools for recognition of learning outcomes like
YouthPass and EuroPass, and other resources and tools provided by ESC program;
- guides - European Solidarity Corps guide and info kit, guide for beneficiaries, two party agreement with National
Agency, and other;
- social media accounts and followers, digital and traditional media partners;
- high attendance of diverse people, especially young people.
4. How we will ensure that the staff have the necessary competences to carry out their tasks:
- in the project management team remains people who have managed many of the practical and logistics maters in the
previous ESC projects;
- the ESC project coordinator has gained experience in the position for only 1 year at KKC, but has a diploma in project
management courses and has gained experience and knowledge necessary for the position from previous coordinator,
current project management team and previous work experience that included communication and networking, logistic
