Management and coordination
In this section you are required to demonstrate your capacity to manage projects and coordinate partners effectively.
How do you intend to cooperate and communicate with your partners? How will you monitor and manage their
performance? If already known, please provide a short description of the partners you will be cooperating with, their
expected role and experiences and competences they should bring in. Please also describe how the activities will meet
the needs and objectives of your partners.
How do we intend to communicate and cooperate with our partners, monitor and manage their performance:
As the coordinating organization we plan to overlook and monitor the work of our partners mainly via e-mail, video and
voice calls. To ensure clear communication and transparency we plan to have regular and frequent communication and
reporting throughout all project phases from the involved partners, the volunteers, mentors and project management
teams. In advance we want to establish long term partnerships to guarantee that everyone involved from partner
organizations have the professional competences needed for carrying out their tasks and in case of lacking the needed
knowledge or skills, we can provide mutual learning for successful cooperation.
The most intensive communication is expected in the planning phase and before the volunteers departure when
agreements and different arrangements are done, and we must make sure that the partner organizations follow
agreements and provide high quality support to volunteers, carry out the preparation work. During the project activities,
we aim to keep in touch with the partner organisation regularly regardless of our role to mutually monitor involved partner
performances (including ours), exchange ideas for improvement and involvement, transfer knowledge and skills. If we see
that they are not responding via e-mail or not getting involved sufficiently when their input is necessary, we will try to have
a call with them to talk everything through. We can also monitor their performance from the feedback of the volunteers. In
case the volunteers don't feel sufficiently supported by their sending/host organisations, we will reach out to them to find a
solution. If any important conflict or other issues involving the volunteer arise, we will also involve the partner
organisation, so that everyone is informed and could contribute to the conflict resolution.
Short description of the partners we will be cooperating with:
1. Cultural center „Maly Berlin” by association "Publikum.sk" (Slovakia, PIC: 917650071)
Expected role: host organisation for individual projects.
Description and experience: "Maly Berlin" has similar values, activities, objectives and experience with us. It's an
independent cultural center, who co-organize diverse contemporary culture and educative events, opened soon after we
opened our cultural center, is our fellow member in culture center network "Trans Europe Halles", believes that
independent culture and art are an important element of an active and healthy civil society. They focus on promoting civic
activism, community creation, inclusion and diversity, urban development, contemporary culture. They are ready to
provide the necessary support to young people facing such difficulties as discrimination, and we have mutually decided to
cooperate in future ESC projects.
Competences they should bring in: project management (incl. time and budget planning abilities); clear, frequent and
honest communication with partners and volunteers; inclusive, diverse and transparent team management; use of
informal methods and digital tools; event and culture management; learning process management and mentoring;
reinforced mentoring and the needed support; and others.
How the activities will meet the needs and objectives of our partners: volunteer involvement implements partners culture
and educative program and additionally provides more focus on community needs; mutual learning by knowledge, skill
and experience exchange.
2. Youth organisation "TRATWA" (Poland, PIC: 943310645)
Expected role: host organisation for long term projects, sending organisation for group and individual projects (ready and
willing to involve volunteers who face social and economic obstacles and educational difficulties).
Description and experience: However similar values, we have differences in activities, objectives and experience, but its
no obstacle for our cooperation. Originally formed in 1997 as a nature disaster center, now working as an NGO incubator
and social centre with focus on empowering NGOs, work with youth in risk of exclusion, intercultural and intergeneration
activities. They have long-term experience in cooperation with many local and international partners, in project and crisis
management, public opinion shaping, youth mobility projects.
Competences they should bring in: previously mentioned competences as other partners.
