As an IT manager, you may have two teams under the IT department, including a data
processing team. This team involves data entry clerks who are responsible for converting
data into computer-readable form, computer operators who run the programs on the
computer, and librarians who take custody of computer programs. When it comes to
controlling the integrity of the IT system, you need to consider both general and application
controls. General controls are related to the overall integrity of the IT system, and you need
to have a team to take care of authorization, record-keeping, custody comparison, and
ensure that there is a segregation of all these duties. The IT system is designed to prevent,
detect, and correct errors and irregularities in transactions processed by accounting
systems. Information system controls consist of general controls pertaining to computer
technology or IT function, including organizational personnel and operations controls and
system development controls.
A data center must have effective environmental controls, fire protection, safeguards against
flooding and other natural disasters, as well as a backup power supply and protection
against electrical spikes. The system itself needs to handle peak processing volumes without
unacceptable slowdowns along with network controls and other measures to protect the
organization's networks and data. Backup and disaster recovery controls ensure that lost
data can be recovered. As part of its IT controls, a firm should have disaster recovery
backup sites, such as a hot site, a warm site, or a cold site. A cold site can be made
operational within a short time frame, unlike a hot site and warm site, which require some
effort before they could start up and running. For example, assume that the checks written
during a particular day are being entered into a checkbook program, and that a data input
clerk is working from the following sheet to make the entries. The total amount is $ 9,700. To
determine the record count, we need to know how many rows or records are present. In this
case, the record count is three.
On page 33, Hallett discusses processing controls which were not previously addressed.
These controls are crucial in managing the manipulation of data post input. Processing
controls are dependent on both input controls and output controls. To learn more about the
various processing controls, please turn to page 34.
