As I am running business of Zanzibar food stuff company, I have been asked by
directors to produce report outlining features
and functions of information management systems.
Features of information system.
Information system is a set of interrelated components that works together to
collects, process, store and spread information for the purposes of controls
operations, analysis, and making decisions in businesses. An organized
combination of data people hardware, software and telecommunications or
communication networks collects data, processed data and distribute
information. The following are the features of information system:
Data.
Data are collections of facts that can be quantity or quantity. Data can be
collected from primary source (face to face by observing) or secondary source
(that already written by someone). The data that collected within a company or
outside must be accurate and keep it in a logical manner. Then the data are
processed and organized to create information that can be used with in company
by different functional departments. For example the data collected from
customers by sales departments in Zanzibar food staffs company are processed
and organized and then are used by other departments like markets department
can use that data to know which products are in demand in this season in order to
build strong relationship with customers and to know their needs. Thus, data are
important feature in information system.
People.
People are involves in collecting and processing data in order to use that
information to run their business. This is one among important features in

system and to store data and then used them to make analysis, decisions and to

have employees, who collects, process and store data of the company that can be

Hardware.
This is the one among components or features used in information system. The
use of hardware in information systems depend on the size of the company, this
is because big companies needs a lot of hardware resources rather than small
business companies requires few hardware resources for the management of
information systems. In my Zanzibar food staff company, we use computers with
peripheral devices such as keyboard, external hard disk to be used to store
information and to be shared to other computers through internet. (KIOSK ,EPOS)
Software.
These are the program that are used in input of data, output, storage and control
operation of information system. Software is used in managements of
information system. In my Zanzibar food staff company in management of
information system, we use software such as database management system to
store organized information and also to create queries and formatted reports.
Also we use spread sheet for the managements of information system to analysis
and modeling of data that can be used in making decision. Another software we
use is communication software to share information with others through internet
connection such as sending and receiving electronic mail or file transfer.
Therefore, software are important in information system.
Telecommunication.
This is another component which is required in managements of information
system. This is the electronic transmission of signals in order to communicate. In
my Zanzibar food staff company, we use telephone network and computer

network and internets as a communication. We use telecommunication to
communicate with customer and in provision of customer services. When we use
telecommunications, we need to ensure that there is security with in network
such firewall in order to protect valuable information from attackers.
FUNCTIONS OF INFORMATION MANAGEMENT SYSTEM.
The following are the functions of information system:
Input.
This is the insert of data in a system for some type of use or data received by
computer system. Sources of input data in to the system are keyboard, mouse or
other computer. In my Zanzibar food staff company, we collects and enter data of
customers information in to the computer system, this is said to be input to an
information system. There are two parts of input to an information system.
All inclusive data which is stored and processed and forms the basis of the

This is the method of handling all data that is inserted in to the information
system. The data stored always accurate and accessible. In case of virus or error,
there must be regular backups done, the data are not lost as they are stored in
different locations like USB drive, hard disk. In my company after input data into
the system, we stored it in the computer. In case of any errors on data stored, we
backup data storage.
PROCESSING.
This is the place where data turns into information (organized data). Processing
data is the chain of operation that uses information to produce a result.
