Notice of award and letter of intent

contract are negotiated. Typical activities these documents start are acquiring insurance, obtaining the
bonds, and starting the submittals.
Notice to proceed
a document that is issued by the owner after the contract is signed and is the formal start of the project.
The date of the document is the formal start of the project and used to calculate when it is contractually
required to be finished. The notice to proceed is also a certification from the owner that the site is clear
of encumbrances and ready for the contractor to start their work unimpeded.
Stop work order
a document typically issued by the owner ordering the contractor to stop all work on the project.
Schedule of values
typically required at the beginning of the project and provides a breakdown of the cost of work. The
schedule of values is most often used for progress payments.

documents provided by the municipality having jurisdiction to approve the construction of a project
based on the contract documents developed by the designer.
Certificate of substantial completion
a document that indicates that the owner has accepted the building and that it can be used for its
intended purpose.
Certificate of occupancy
a document issued by the municipality having jurisdiction indicating that the building is safe to occupy,
and it formally closes out the permit.
Request for information (RFI)
formally documents a question or request for clarification by the contractor to the designer.
Record of as-built drawings
are documents maintained by the contractor that show all of the deviations and changes in installation
of the work from how it was shown on the contract documents.
Change order
the document that formally changes the cost, duration, or scope of the contract agreement.
Construction change directive (CCD)
a document issued by the owner/designer directing the contractor to proceed with changes to the work
without necessarily agreeing to a price.
Minor changes
a term included with AIA
contracts that allows architects, without necessarily having approval of the owner or contractor, to
authorize small changes in the work.
Architect supplemental instruction (ASI)
a document included with AIA contracts and used for minor changes in scope without any changes in
schedule or costs.
construction claim
an unresolved request by the contractor for additional time or money as a result of a condition they
believe is outside of the contract terms.
substantial completion
a specific point in the project when the owner can use the building for its intended purpose.
