OpenOffice Calc is developed by Sun Microsystems.-free and easily downloadable.
Parts of a screen
1.Workbook- It is a collection of worksheets. It opens with 3 worksheets. Their name appears
towards the bottom of the page. The sheet on which we were currently working is active
sheet.
2.Worksheet- It is the working area or page on the screen. It is a collection of rows and
columns .
3.Rows- Rectangular box that are placed on top of eachother in a horizontal position.
Numbered from top to bottom along the left edge.

4.Columns – Vertical box that are placed adjacent to eachother. Labelled from left to right .
No of columns – 1024
First column -A First column – A (Excel)
Last column – AMJ Last column – 16348-XFD
5.Cells – intersection of a row and a column. It is the basic unit of worksheet where the data
is being entered .
6.Title bar – It lies at the top of the window . It displays the name of the active workbook. –
Default-Untitled1
7.Menu bar- It is located below the title bar . It has various menus. Either click on them or on
alt along with the underlined character of the menu name
8. Standard Toolbar- It lies below menu bar . It contains frequently used buttons
9.Formatting Toolbar – It liesbelow the standard toolbar . It contains shortcut buttons that
helps in formatting to provide access to options,
10.Formula Bar – Below FT. It performs different calculations is entered and displayed here.
Its denoted by `fx`.
o Name box – cell reference – A1 or D10
o Sum- Total of the numbers selected
o Functions wizard-List of available functions
o Function-Function icon and inserts an = sign into the selected cell
o Input line- Displays the contents of active cell.-editing can be done.
11.Name box- Beside FB. Contains the address of active cell.
, 12.Status Bar – It lies at the bottom. It shows the current status .
13.Cell Address- Column position followed by its row number.
14.Horizontal scroll bar – It lies below the sheet at the right side of the sheet tabs. Scroll from
right to left and vice versa.
15. Vertical scroll bar- It lies towards the right side of worksheet. Top to bottom and vice
versa.
16.Cell pointer-Active cell in a worksheet .Highlighted with bold border.
17.Active cell – The selected or activated cell is always highlighted with thick borders .It
needs to be first selected by placing a cursor on it.
Types of data
1.Numeric data – consists of digits from 0-9 and operators like +,*,%,#,etc.
2.Alphanumeric- (alphabets+ spaces+ digits+ characters) .It is mentioned within double
quotes “”. Alphanumeric data is assigned towards the left side and not for calculation.
3.Date and TIME – Sequential numbers are known as serial values . Time is displayed as a
fractional part.They are aligned towards the right.
4.Formula-It helps to perform arithmetical calculation and also executes non – arithmetical
tasks. Has operators and operands. Formula has to be expressed with = before the
operator /data .
Creating a workbook
Step1- Click on File menu . Select `new` option.
Step2-Click on spreadsheet.
Step3- A new workbook named untitled 1 appears on the screen.
Entering data in worksheet- To enter data in the cell , click on it and the typed data is
visible in the formula bar . Press `Enter` key or move the cursor or click on the other cell
simply.
