Technical writing is a specialized style focused on providing clear directions,
instructions, and explanations. It is commonly used for manuals, reports, and product
guides, differing from creative, academic, and business writing in its purpose and
characteristics.

Is Technical Writing a Necessary Skill for Every Employee?
While technical writing is essential in many fields, not every employee needs to
master it. However, having basic technical communication skills can improve clarity,
efficiency, and professionalism in the workplace, making it a valuable skill for many
roles.

Technical Writing Aspects:

●​ Development – The same techniques used in essays (examples, anecdotes,
data, etc.) apply to technical writing for memos, letters, and reports.
●​ Grammar – Errors are more noticeable in concise technical documents than
in longer essays, making grammar crucial.
●​ Organization – Unlike essays, technical writing replaces a thesis with a
subject line, uses shorter paragraphs, and structures information with bullet
points and headings.
●​ Style – Technical writing favors short, clear sentences and denotative words,
focusing on efficiency rather than complexity.
●​ Document Design – Visual elements like graphics and highlighting
techniques enhance readability, unlike essays, which rely solely on text.

Five Traits of Technical Writing

1.​ Clarity – The most important aspect, achieved through answering key
questions (who, what, when, where, why, how) and being specific to ensure
all readers interpret the information the same way.
2.​ Conciseness – Technical writing should be brief and to the point, avoiding
long words, prepositional phrases, and passive voice.
3.​ Accessible Document Design – Effective technical writing uses formatting
techniques like white space, headings, bullets, bold text, and graphics to
improve readability.

, 4.​ Audience Recognition – Writers must adjust their language based on three
audience levels:
●​ High Tech Peers – Experts who understand industry jargon and
abbreviations.
●​ Low Tech Peers – Colleagues with some knowledge but require
explanations.
●​ Lay Readers – General audience with no expertise, needing clear and
simple explanations.
5.​ Accuracy – Errors in grammar, data, or formatting can cause confusion, harm
credibility, and lead to serious consequences. Proofreading techniques like
spell check, peer review, and reading aloud help ensure correctness.


Sentence Fragments

Sentence Fragments are incomplete sentences missing a subject, verb, or complete
thought.

How to Fix Sentence Fragments?

Missing Subject → Add a clear subject.
(Error) Frighteningly dark and devoid of life as it moved in the shadows.
(Fixed) The bear was frighteningly dark and devoid of life as it moved in the
shadows.

Missing Verb → Include an action word.
(Error) A train in my backyard.
(Fixed) A train in my backyard would appear every day.

Incomplete Thought → Provide necessary context.
(Error) She would be jogging in the morning.
(Fixed) Whenever I passed by the store, she would be jogging in the morning.

Types of Sentence Fragments:

1.​ Prepositional Phrase – Starts with a preposition (in, on, above, regarding,
etc.).
