In this task I will be create a report consisting of an explanation of the support I provided during the
event with evidence.
Our exhibition was a charitable event. These types of event are usually arranged for a specific
purpose. Our reason for organising our event was that it is part of this unit.
When we were planning for the event, the support that I provided was that I contributed findings
that would be put into the presentation as we had to do the event virtually due to COVID-19. I also
provided support in teams meeting especially when we had to make decisions as a group as to what
we should do for the event as well as the aims and objectives. We also discussed about our target
audience and the role of each of the team members using the Belbin’s and Tuckman’s theory to run
the event successfully.
This is a screenshot of the meeting
notes made by a team member of
the group. In this note the member
of the team had to drop down
anything that we had made a
decision on such as the roles and
tasks. The notes consisted of the
roles each member was doing as
part of the event, what each
member were doing, a venue
checklist, a control plan and hazards
and risks.
My role through the use of the Belbin’s theory was a resource investigator. The qualities of a
resource investigator are that They are extroverts with a talent of networking. Positive and
enthusiastic people who like to investigate opportunities and investigate development which
resembled myself, hence why I was assigned to do this role. An example as to when I showed these
characteristics was when I was assigned a task which I was enthusiastic and confident about. My role
for the event was to create a questionnaire which would be sent to the Level 3 Year 1’s and Level 1’s
BTEC Business students after we presented and had watched our presentation on team. I had to
create a questionnaire with my team member using SurveyMonkey. The types of questions that we
asked was questions like “What did you think of our event” etc. Another responsibility of mine was
carrying out a risk assessment and putting controls in place. The control assessments made sure that
the environment was safe from hazards that could be caused by the for example the chairs,
keyboards, computers, drinks windows and wires. It is essential to conduct a risk assessment when
running an event as it helps prevent accidents which could have a negative impact on the event.
All the other team members provided support to ensure that the event when to plan. My group was
composed of seven people including myself and all had distinctive responsibilities for instance,
making a poster, PowerPoint animation, taking photographs Leaflets, a letter requesting permission
from the head of the department to run the event and a questionnaire for the classes that we
presented to fill out after the event.
